You manage everyone in your workspace from Settings, in the Users tab. This is where you invite people, give them a license, and assign admin roles.
🔑 How access works
Two things decide what someone can do in uman:
A License grants access to a set of functionalities. Everyone has exactly one license.
Admin roles are added on top of a license. They give extra permissions to configure and manage the workspace. Someone can hold several admin roles, or none at all.
A person's permissions are always their license plus every admin role they hold. You assign both from the Roles dropdown next to each user.
✅ What everyone can do
Whatever their license, anyone with access to the workspace can:
View and use the portfolio: Offerings, cases, thought leadership, and Brands.
Ask questions in AI chat and look things up in Search.
Manage their own profile, including their name, photo, and language. They cannot change their own license or admin roles.
Connect their own personal apps, such as their calendar and CRM account, using their own credentials.
🎫 Licenses
Sales
Access to all sales functionalities for business development, deal execution, and account management. A Sales user can:
Work with Accounts (prospects and customers), Leads, Outreach, Deals, and Sales meetings.
Prepare meetings, generate follow-ups, and read account research and sentiment.
Link and create records in a connected CRM (accounts, deals, and contacts), using their own CRM account.
Build and run their own outreach sequences and campaigns.
Create and use their own templates.
Portfolio
Access to portfolio content, AI chat, and Search. This is the default when someone does not have a Sales license. A Portfolio user does not have the sales areas above (accounts, outreach, deals, and sales meetings).
🛠️ Admin roles
Admin roles are additive. They never replace a license; they add management permissions on top of it.
Sales Admin
Everything a Sales user can do, plus managing shared sales settings for the whole workspace:
Manage every outreach campaign and sequence, not only their own.
Manage sales and meeting templates.
Manage CRM note templates.
Configure the meeting assistant, meeting qualification, and skipped meetings.
Sales Admin requires a Sales license to be active.
Portfolio Admin
Portfolio Admins fully control the portfolio structure and content across all offerings in uman:
Create, edit, and delete offerings, cases, thought leadership, and brands.
Manage the attributes used to structure that content.
Template Admin
Manage the presentation templates used across portfolio offerings, cases, and thought leadership. This role covers templates only; it does not grant editing the portfolio content itself.
Workspace Admin
Manage the workspace itself:
Add and remove members, and assign their licenses and admin roles.
Create and manage teams, and assign members to teams.
Send and manage invitations.
Connect and manage workspace integrations and apps.
View workspace usage and analytics.
Workspace Admin governs the workspace but does not by itself grant sales or portfolio content permissions. To also work with those, a person needs the matching license or admin role.
